For any organization, employee engagement or happiness are crucial metrics. And Surveys are the best way to gather actionable data to measure these metrics.

However,

🚩 Executing a well-structured survey requires significant effort, and a badly run survey isn't worth pursuing at all.

Thus,

We would want our People Teams to focus their efforts into analyzing the outcomes rather than the technicalities of running these surveys.

The Klaar platform eliminates all of the operational complexities of running 360s and surveys, allowing you to focus on what truly matters

Here's a short read to derive most out of Engagement Surveys in Klaar.

1. User or Employee Data πŸ“‘

Ensure that all employee data has been uploaded on to the Klaar platform. Following fields are important for mapping of Surveys

  • Name

  • Manager's Name

  • Email ID

2. Timing of the Survey ⏲

Surveys can be launched on a periodic basis say, annually/bi-annually/quarterly.

  • Launch Date of the Survey πŸ—“

Responding to feedback, would require people to dedicate time outside of their regular tasks. To ensure participation, start by sending an initial email to inform them about the upcoming survey, rather than it being a sudden surprise.

  • Pick the right day of the week - Fridays generally receive poor responses, while Tuesdays and Thursdays are when surveys have the highest participation rates.

  • Time the survey outside of the core working hours i.e before 10, after 5 or during lunch hours.

  • Duration of the Survey ⏳

Decide on how long the survey stays open for collecting responses. Generally 2 weeks is considered sufficient time to get valuable insights from the team.

πŸ’‘ Klaar offers the flexibility to send out regular reminders at intervals that can be customized according to your preferences.

  • Survey Questions πŸ“ƒ

Klaar offers meticulously designed survey templates that would address any organization's requirements.

OR

You can just as easily create the templates and pick between multiple response types to fit in with your customized survey.

πŸ“’ We recommend creating questions that are direct, concise and seek out observable behavior rather than speculation.

πŸ“’ Aim for a survey that can be answered within 10 minutes to avoid feedback fatigue.

3. Participants for the Survey

Participants are the folks for whom the Survey is being launched. Say if you are launching a Leadership Survey - the participants would be the Leaders of the Team.

Klaar lets you customize and create a group who will receive feedback and tailor the entire experience for them.

4. Respondents for the Survey

Respondents are people who would be responding to the survey. Klaar enables you to gather responses across multiple categories.

Klaar also allows to change, edit and map settings for each feedback group as per your requirements.

5. Communication πŸ“©

Prior to launching an Engagement Survey ensure that you create clarity for everyone keeping in mind the following

  • Deadline for turning in the responses

  • Confidentiality of the data shared

  • Plan of Action from the data collected

  • Timeline for the Final Reports
